A HIPAA-compliant voice agent handling patient follow-ups and appointment booking for a US medical clinic, integrated with DrChrono and GoHighLevel.
the problem
Patient follow-ups and appointment booking eat front-desk time at most clinics. Doing them well requires HIPAA-compliant infrastructure, integration with the clinic's existing scheduling system, and conversation design that respects patient context rather than sounding like a standard support bot. The clinic needed a voice agent that could own those flows end to end.
the approach
Built the voice layer on Retell AI, with GoHighLevel handling the automation around call events and DrChrono as the appointment source of truth. Designed the conversation flows for regulated patient conversations specifically: the handoff logic when anything clinical came up, the pacing around sensitive topics, and the booking path into DrChrono without exposing patient data outside the compliant surface. Built solo with support from the Verstand team, operating as a forward-deployed engineer alongside another agency on the account.
the outcome
Deployed to production. Day-to-day monitoring was owned by the partnering agency after handoff, so post-launch metrics were not tracked on my side.
the lessons
HIPAA-adjacent voice work is a different design problem from commercial voice agents. The tuning is less about personality and more about knowing when to stop talking and hand a conversation to a human. The architecture has to make that handoff fast and unambiguous.
