the problem

Indie agency owners in their early days do not need, and cannot justify, a full HubSpot-and-Gong stack. But they still need a CRM pipeline, meeting capture, and a way to turn discovery calls into proposals and follow-ups without manual work. Most of the existing tooling is priced and scoped for teams of ten, not one.

the approach

Built on Airtable as the CRM core to keep the surface area small and the interface familiar. Fireflies handled meeting transcription; transcripts flowed back into the system where LLM chains summarized calls, auto-drafted proposals, and surfaced next-step suggestions visible directly in the Airtable view. Inspired by Benjamin AI's approach but tuned deliberately for a solo operator's budget and workflow. Focused on keeping each stage transparent rather than hiding it inside an opaque tool.

the outcome

Shipped as a working product that replaced 3 to 4 tools an early-stage agency owner would otherwise stitch together. Generated interest on LinkedIn during launch but adoption was limited to a handful of active users. The workflow pattern it demonstrated, discovery to proposal in one flow, is one I still reach for on client work.

the lessons

Lightweight CRMs have a real market, but finding and reaching indie agency owners at the right moment, when they're outgrowing spreadsheets but not ready for HubSpot, is its own distribution problem. The product was sound; the go-to-market was harder than the build.
